The Charge Scheme is a product of The Electric Car Scheme Limited. This policy explains what personal data we collect when you use our website and the scheme, why we collect it, and the rights you have over it. We are the data controller for that information.
The data we collect
- Contact details you give us, such as name, work email, telephone number and employer, when you book a demo, download a resource or contact support.
- Scheme account data for employees enrolled through their employer, including payroll reference, tax band, vehicle details and home charging tariff where provided.
- Charging and mileage data, including charging session records from your charge card and app, the chargepoint operator, kWh delivered, cost, and the mileage you submit each month.
- Website data, including IP address, device and browser type, and pages viewed, collected through cookies and similar technologies.
Why we use it
- To operate the scheme, calculate charging costs and produce payroll instructions for your employer.
- To provide the app, charge card and customer support.
- To meet legal and tax obligations, including keeping records that support salary sacrifice deductions and mileage reimbursement.
- To improve our products and, where you have agreed or where we have a legitimate interest, to send you relevant information about our services.
Our lawful bases are performance of a contract, compliance with a legal obligation, our legitimate interests in running and improving the service, and consent where required for marketing and non-essential cookies.
Who we share it with
- Your employer, for the payroll deduction or reimbursement that the scheme exists to produce. Employers receive the figures needed for payroll, not your full charging history unless the scheme rules require it.
- Service providers who help us deliver the scheme, including charging network partners such as Plugsurfing, payment providers, and hosting and support suppliers.
- Professional advisers, regulators and HMRC where we are required to do so.
We do not sell personal data.
International transfers
Some of our suppliers process data outside the UK. Where that happens we rely on UK adequacy regulations or standard contractual clauses with appropriate safeguards.
How long we keep it
Scheme and payroll records are kept for as long as you are enrolled and then for six years, to meet tax and accounting requirements. Marketing contact data is kept until you unsubscribe. Website analytics data is kept for a shorter period set by the relevant cookie.
Your rights
You can ask us to give you a copy of your data, correct it, delete it, restrict or object to our use of it, or provide it in a portable format. You can withdraw consent for marketing at any time. If you are unhappy with how we have handled your data you can complain to the Information Commissioner's Office at ico.org.uk.
